Initial Consultation
During our initial call we will discuss your business and your vision on how we can work together.
We will go through basic questions such as contact information, tax structure, current bookkeeping and tax situation, and what your business does. This will give us a better idea of areas we need to review, additional questions we may need to ask and provide us with a general idea of your company.
Once we get all of the information we need, we can discuss how CHW Bookkeeping can fit into your business vision. If you would like to move forward in the process, we will request access to your Quickbooks Online temporarily. This will enable us to do an initial review of your bookkeeping as it currently stands, allow us to take additional notes and present additional questions and schedule a follow up call with you.
During the follow up call, we will review our notes and questions and clear up any additional questions on your side. This will put us both at the correct starting point and enable us to discuss next steps whether it be clean up, training or bookkeeping. Additionally, during the follow up call we will discuss the next steps in the process and pricing.
On boarding Process
We want to make the on boarding process as easy as possible for you.
Introduction to your Bookkeeper
At CHW, our clients get partnered with a personal bookkeeper. Your personal bookkeeper will reach out to introduce themselves and get the on boarding process started.
Software Access
If you have a Quickbooks Online file already, we will request access to it as an accountant user so that we do not use up your billable users. If we are starting a brand new file, we will send you admin access so that you are able to access it 24/7. Additionally, we will grant you user access to additional apps we use such as Hubdoc for digital record storage.
Workflow Process
Depending on what our scope of work is; training, clean up or monthly bookkeeping, we will set you up in our workflow software. This is primarily where we will be requesting documents through our secure portal and maintaining a list of our duties to mark off. Our workflow software will send automated reminders to you if we are still missing requests; this to ensure nothing is forgotten or left behind. We will also work with you to determine how we will get important documents such as bank statements. Depending on your comfort level we can either have limited access to your accounts to pull documents or we can just request them from you.
Goals and Customization
During this process we will also discuss your goals for your Quickbooks Online file. What are you expecting to get out of the reporting? Do you want to track specific items in more detail? What can we customized so that you get the best possible data to make decisions?
Client Training and Expectations
The last part of the on boarding process is client training and expectations. Since we use Hubdoc, we will train you on how to send us receipts, bills, and paperwork through your cell phone and email. This information will help us create a digital system of record for you. Additionally, we will go over what we will need from you on a monthly basis to make this process as efficient as possible for everyone.
Our responsibility each month includes:
Entering in all bank and credit card transactions each month.
Reconcile your bank and credit cards each month.
If there are any questions in regards to transactions or document we may need - you will be notified by email through our workflow software.
Before we issue any financial reports to you, we will do a final review to ensure all errors and issues have been cleaned up.
Each month you will receive the completed financial reports that you need to operate your business.
Bookkeeping Process
Whether we are doing a clean up project, monthly/quarterly review or bookkeeping services – our process remains the same. At CHW Bookkeeping, we want to be as efficient and accurate as possible. In doing so our clients spend less time on bookkeeping and more time growing their business.
On a typically monthly basis you will receive questions from your personal bookkeeper and/or document requests. This will help us determine how to properly categorize uncertain transactions and collect missing information such as a W9 from a contractor or recording of an asset.
When the bookkeeping process is complete, we feel confident in sending you accurate financial statements that you can make business decisions on.
The process does not stop there. We want our clients to feel cared for and not afraid to ask questions. Anytime you have questions, we want you to ask us!
